Managing Users (Entity)

Entity-level user management controls who can access a specific company in your organization and what they can do within it. This is where you assign the granular roles that determine day-to-day permissions.

Only entity Admins can manage entity users.

Adding a User to This Entity

Before you can add someone to an entity, they must already be invited to the organization. See Managing Users (Organization) if they have not been invited yet.

To add an existing organization user to this entity:

  1. Switch to the entity using the company switcher in the top bar.
  2. Go to Entity Settings and select the Users tab.
  3. Click Add User.
  4. Select the user from the organization user list.
  5. Assign a company role: Admin, Manager, Approver, Clerk, or Auditor.
  6. Click Save.

The user will immediately have access to this entity with the assigned role.

Role Descriptions

Each company role grants a specific level of access within the entity:

RoleDescription
AdminFull access to all features and settings. Can manage users, configure entity settings, create policies and rules, and perform all actions.
ManagerManage users, rules, policies, and vendors. Can approve invoices. Cannot modify entity-level settings.
ApproverReview and approve or reject documents assigned to them. Can view invoices and vendors but cannot edit settings or policies.
ClerkUpload, review, and edit invoices. Can manage vendor details and resolve notices. Cannot approve invoices.
AuditorRead-only access to all data. Can view invoices, vendors, reports, and audit trails but cannot make changes.
tip

Assign the minimum role needed. Most day-to-day AP users should be Clerks or Approvers. Reserve Admin and Manager roles for team leads and supervisors.

Changing a User's Role

To change a user's role within this entity:

  1. Go to Entity Settings and select the Users tab.
  2. Click on the user you want to update.
  3. Change their role using the role dropdown.
  4. Click Save.

The role change takes effect immediately. The user's permissions update the next time they load a page.

Removing a User from This Entity

To remove a user from this entity:

  1. Go to Entity Settings and select the Users tab.
  2. Click on the user you want to remove.
  3. Select Remove from Entity.
  4. Confirm the removal.

Removing a user from an entity only removes their access to that specific company. They remain in the organization and keep access to any other entities they belong to.
