Searching, Filtering & Saved Views

As your invoice volume grows, you need fast ways to find specific invoices or groups of invoices. Mod AI gives you text search, filters, column controls, sorting, and saved views to stay organized.

The search bar at the top of the invoice list lets you search across multiple fields at once. Type any of the following to find matching invoices:

  • Vendor name
  • Invoice number
  • Amount
  • Any extracted field value

Search results update as you type, so you can quickly narrow down to the invoice you are looking for.

Filters

Filters let you narrow the invoice list by specific criteria. Click the Filters button to open the filter panel.

Available Filters

FilterWhat It Does
StatusShow only invoices in selected statuses (e.g., Needs Review, Pending Approval)
VendorShow only invoices from selected vendors
Invoice DateFilter by invoice date range
Due DateFilter by payment due date range
Amount RangeFilter by invoice total (minimum and/or maximum)
CurrencyShow only invoices in a specific currency
Has NoticesShow only invoices that have unresolved notices
Assigned ApproverShow only invoices assigned to a specific approver

Dynamic Filters

Filters are dynamic -- the available options update based on your data. For example, the vendor filter only shows vendors that appear in your invoices, and the status filter shows counts for each status.

Applying Multiple Filters

You can apply multiple filters at the same time. Filters are combined with AND logic, meaning invoices must match all active filters to appear in the results.

To clear a filter, click the X next to it. To clear all filters, click Clear All.

Column Visibility

Not every column is relevant to every workflow. Click the column settings button (gear icon) to show or hide columns in the invoice list.

Available columns include: Vendor, Invoice Number, Invoice Date, Due Date, Amount, Status, Currency, PO Number, Created Date, and more.

Your column preferences are saved to your account.

Sorting

Click any column header to sort the invoice list by that column. Click again to toggle between ascending and descending order. A sort indicator arrow shows the current sort direction.

Saved Views

Saved views let you save a combination of filters, column settings, and sort order so you can switch between different workflows instantly.

Creating a Saved View

  1. Set up your filters, columns, and sort order the way you want them.
  2. Click Save View.
  3. Give your view a name (e.g., "My Pending Approvals" or "High Value Invoices").
  4. Click Save.

Loading a Saved View

Saved views appear as tabs at the top of the invoice list. Click a tab to switch to that view instantly.

Default View vs Custom Views

The All Invoices tab is your default view with no filters applied. Your custom saved views appear as additional tabs alongside it.

You can edit or delete saved views at any time by clicking the settings icon on the view tab.

tip

Create saved views for the workflows you repeat most often. Common examples include:

  • Needs Review -- Invoices waiting for your review.
  • My Pending Approvals -- Invoices where you are an assigned approver.
  • High Value Invoices -- Invoices above a certain amount threshold.
  • Past Due -- Invoices with a due date in the past.
  • Has Notices -- Invoices with unresolved notices that need attention.
