Managing Entities
Entities are separate companies or business units within your organization. If your organization manages AP for multiple companies, subsidiaries, or divisions, each one is set up as its own entity in Mod AI.
What Entities Are
An entity represents a single company in your organization. Each entity is fully independent -- it has its own data, settings, and user roles. This means you can manage AP for multiple companies from one Mod AI login without data mixing between them.
Multi-Entity Support
Mod AI is built for organizations that manage more than one company. Users can belong to multiple entities and switch between them using the company switcher in the top bar.
A user can have different roles in different entities. For example, you might be an Admin in your main operating company but a Clerk in a smaller subsidiary.
Viewing Entities
To see all entities in your organization:
- Go to Organization Settings.
- Select the Entities tab.
This page lists every entity along with its name and key details.
What Each Entity Has
Each entity operates independently with its own:
- Invoices and documents -- Invoices belong to the entity they were uploaded or forwarded to.
- Vendor directory -- Each entity maintains its own list of vendors.
- Chart of accounts -- GL accounts are configured per entity, typically synced from the entity's ERP.
- Approval policies -- Each entity defines its own approval workflows.
- Rules -- Automation rules are scoped to a single entity.
- User roles -- A user can be an Admin in one entity and a Clerk in another.
- Feature toggles -- Enable or disable capabilities like PO matching and auto-pay per entity.
- ERP integration -- Each entity connects to its own ERP system (or instance).
Each entity operates independently. Invoices, vendors, and settings are not shared between entities.
