Purchase Orders Overview
Purchase orders (POs) in Mod AI are approved purchase orders synced directly from your ERP system. They represent commitments to buy goods or services from a vendor at an agreed-upon price. Mod AI uses POs to verify invoices through two-way and three-way matching before payment.
How POs Arrive in Mod AI
POs are pulled into Mod AI automatically through your ERP integration. When a PO is created or updated in your ERP, it syncs to Mod AI during the next sync cycle. There is no manual upload process for POs -- they always come from your ERP.
POs are synced from your ERP. To create, edit, or close a PO, use your ERP system. Mod AI mirrors your ERP data in read-only mode.
Why POs Matter in Mod AI
POs serve one critical purpose in Mod AI: invoice matching. When an invoice arrives, Mod AI compares the invoice details against your POs to verify that:
- The vendor and amounts on the invoice match what was ordered (two-way matching)
- The goods or services were actually received before paying (three-way matching, when combined with receipts)
This matching process catches discrepancies -- like price changes, quantity differences, or invoices for items that were never ordered -- before your team approves payment. For full details on how matching works, see Matching Invoices to POs and Receipts.
Accessing Purchase Orders
To view your purchase orders, click Purchase Orders in the left sidebar. This opens the PO list page.
The PO List Page
The PO list shows all purchase orders synced from your ERP. Key columns include:
- PO Number -- The purchase order number from your ERP.
- Vendor -- The vendor the PO was issued to.
- Date -- The date the PO was created.
- Total Amount -- The total value of the purchase order.
- Status -- The current status of the PO. See PO Statuses for a full breakdown.

The PO Detail Page
Click on any PO in the list to open its detail page. The detail page shows:
- Header information -- PO number, vendor, dates, total amount, and status.
- Line items -- Each item on the PO with description, quantity, unit price, and line total.
- Matched invoices -- Any invoices that have been matched to this PO, with links to view each invoice.
Read-Only Data
All PO management -- creating, editing, closing, and voiding -- happens in your ERP system. Mod AI displays your PO data for reference and matching purposes only. You cannot modify PO data within Mod AI.
If you notice incorrect PO data in Mod AI, update the PO in your ERP and wait for the next sync cycle to bring the corrected data into Mod AI.
