Chart of Accounts

Your chart of accounts is the complete list of General Ledger (GL) accounts your organization uses to categorize financial transactions. In Mod AI, your chart of accounts syncs directly from your ERP and powers the GL coding interface on invoices.

How It Works

Mod AI pulls your chart of accounts from your ERP via your integration. Any changes you make in your ERP -- adding new accounts, renaming accounts, or deactivating accounts -- sync to Mod AI automatically. You do not need to manually maintain your chart of accounts in Mod AI.

Account Hierarchy

Accounts can have parent-child relationships, creating a hierarchy that organizes your GL structure. For example:

  • 5000 Operating Expenses
    • 5200 Office Supplies
      • 5210 Paper & Printing
      • 5220 Furniture & Equipment
    • 5300 Shipping
    • 5400 Utilities

This hierarchy is synced from your ERP and reflected in Mod AI's account selection interface. When coding an invoice line item, you can browse the hierarchy or search for a specific account.

Account Fields

Each account in Mod AI includes the following fields, all synced from your ERP:

Account NumberThe numeric or alphanumeric code for the account (e.g., 5200).
Account NameThe descriptive name (e.g., "Office Supplies").
Account TypeThe category: Expense, Asset, Liability, Equity, or Revenue.
Parent AccountThe parent account in the hierarchy, if applicable.
StatusActive or Inactive. Inactive accounts are not available for coding.

How Accounts Appear in Mod AI

When you are coding invoice line items, GL accounts appear in a searchable dropdown. You can:

  • Search by account number or name.
  • Browse the hierarchy by expanding parent accounts.
  • View recently used accounts for quick selection.
