Employees Overview

Employee records in Mod AI represent people in your organization. They are synced automatically from your ERP and are used primarily for approval routing -- determining who should approve invoices, vendor credits, and other documents.

Employees vs Users

It is important to understand the difference between employees and users in Mod AI:

  • Employee -- A record synced from your ERP representing a person in your organization. An employee may or may not have a Mod AI login.
  • User -- A person who has a Mod AI account and can log in to the platform.

These are separate concepts. An employee record exists because that person is in your ERP. A user account exists because that person has been granted access to Mod AI.

Why This Matters

Approval routing uses employee records to determine who should approve what. This allows approval policies to reference people in your organization who may not even be Mod AI users yet. When you build an approval policy and assign approver groups, you are assigning groups of employees.

For an employee to actually log in and take action on an approval, they need a linked user account. See Linking Employees to Users for details.

Employee Data

Each employee record includes:

  • Name -- The employee's full name.
  • Email -- The employee's email address.
  • Employee ID -- The unique identifier from your ERP.
  • Department -- The employee's department.
  • Manager -- The employee's reporting manager.
  • Status -- Active or inactive.

Employee List Page

To view all synced employees, click Employees in the left sidebar. The employee list shows every employee record that has been synced from your ERP, along with their key details and link status.

Employee records are managed in your ERP and synced to Mod AI. To add or modify employees, make the change in your ERP and it will sync automatically.

Only Admin and Manager roles can view the Employees section.
